BusyTasks

Terms of Service

Last updated 14 October 2026

These terms are a contract between you (the business using BusyTasks) and Techbase Accessories Limited ("we", "us"). By creating a business on BusyTasks, joining one, or using it in any way, you agree to them. If you don't agree, don't use BusyTasks.

1. Who we are

BusyTasks is provided by Techbase Accessories Limited, a company registered in England and Wales (company number 09342983). Registered office: Commodore House, 51 Conway Road, Colwyn Bay, Conwy, LL29 7AW. Contact: hello@busytasks.com.

BusyTasks is new, and the company that provides it is likely to change soon (for example to a new company set up to run it). If that happens we'll tell you and update these pages. See section 15 for how this agreement can move to that company.

2. Beta: still being built

BusyTasks is in beta (early access). It is still being built and tested, so:

  • bugs, errors, slowdowns and downtime are expected;
  • features may change, move or be removed at any time, without notice;
  • information could be lost, so keep your own records of anything important;
  • you must not rely on BusyTasks for anything important while it's in beta.

Please report problems to hello@busytasks.com. Reports help, but we don't promise to fix anything by a particular time, or at all.

3. For businesses only

BusyTasks is a business-to-business service and is not offered to consumers. You may only create or use a BusyTasks account for purposes relating to a trade, business, craft or profession. Sole traders are welcome when they're using it for their business.

By using it you confirm that you're using it for your business, and that you're allowed to agree to these terms on its behalf. "You" includes your business and everyone who uses BusyTasks through your account, including your managers and staff.

4. What BusyTasks is, and what it isn't

BusyTasks is here to support how you run your business, not to replace your own checks, records or systems. It will sometimes go down, break or lose information, so always have another way to make sure important work gets done.

BusyTasks is a simple tool for listing jobs, reminding people about them and ticking them off. It is a convenience, not a guarantee.

  • It is not a safety, food safety, health and safety, security, compliance, monitoring, alarm or official record-keeping system, and you must not rely on it as one.
  • Reminders, sounds and screens can fail. For example: no sound until someone clicks, a screen going to sleep, the internet going down, devices failing, or errors in the service. You stay fully responsible for making sure work is actually done, checked and recorded properly.
  • You remain responsible for complying with every law and rule that applies to your business, including food safety, health and safety, employment and data protection law.
  • Anything BusyTasks shows, including suggested jobs, wording and examples, is general and for convenience only. It is not advice. Check it suits your business.

5. Free trial and paid plans

BusyTasks is currently free to use during a trial. We may introduce paid plans. We will tell you the price before you're asked to pay, and you can stop using BusyTasks instead. We may change prices for paid plans with at least 30 days' notice. Fees are non-refundable except where these terms (see section 13) or the law say otherwise.

We keep a record of each business's plan (trial or paid, price and billing dates) so we can run billing. Full details of prices, billing, renewals and cancelling will be set out before paid plans start.

6. Your account, board links and staff

  • Keep your sign-in details, board links and staff PINs private. Anyone with a board link can see and use that board. Switch a link off in Settings if a device goes missing.
  • You are responsible for everything done through your account, your managers' accounts and your board links, and for choosing what your managers can access.
  • You are responsible for the people you add, and for telling your staff how their information is used (see our Privacy Policy).
  • To close your business's account, email us at hello@busytasks.com from the owner's account.

7. Acceptable use and your content

BusyTasks is for getting everyday jobs done. Staff names or nicknames, who's doing which job, and who ticked what and when are exactly what it's for. Only enter the personal information reasonably needed to use BusyTasks. You must not use it to store or share:

  • confidential or sensitive information, such as health or medical details, passwords, payment or bank details, ID documents, more about your staff than you need to run the board, or your customers' personal information;
  • anything unlawful, offensive, discriminatory, harassing or defamatory;
  • anything you don't have the right to use.

BusyTasks isn't designed for that kind of information. If it ends up in BusyTasks anyway, it is still protected by data protection law and by section 8, but you are responsible for having put it there.

Don't try to break, overload, copy or get round the security of BusyTasks, or use it to build a competing product.

Images and logos. Only upload a logo or image that belongs to your business or that you have permission to use. You must not upload anything offensive, explicit, violent, hateful, discriminatory or misleading, or anything that copies or impersonates another business's name or brand. You confirm that you have every right needed for what you upload. We may remove any image, and suspend or close an account, at any time and without notice.

You own what you put in. You give us permission to store, copy and display it as needed to run BusyTasks for you. We may remove content or restrict access if we believe it breaks these terms or the law.

We only look at your content for the reasons set out in our Privacy Policy ("Who at BusyTasks can see your information"), for example when you ask us for help.

8. Data processing

For the information on your board, you decide how it's used and we process it for you. In data protection terms (UK GDPR and the Data Protection Act 2018) you are the controller and we are your processor. This section is the agreement between us that the law requires for that.

What we process for you.

  • Subject matter and purpose: hosting, providing, securing, maintaining and supporting BusyTasks for your business.
  • Nature: storing, displaying, organising, backing up and deleting the information on your board, and sending reminders and alerts about it.
  • Duration: while your account is open, and then until it's deleted as set out below.
  • Types of information: staff names or nicknames, colours and PINs (stored hashed); jobs and who they're for; who ticked what and when; notices and who read them; questions and answers; readings; and anything else entered on your board.
  • Whose information: your employees, workers, contractors, managers and anyone else you allow to use your board.

Your part. You decide what goes on your board and why. You confirm that you have a lawful basis for putting this information into BusyTasks, that you've told your staff how it's used, and that your instructions to us comply with the law.

Our promises. We will:

  • only process it on your documented instructions, which are these terms and how you use BusyTasks, including transferring it to our service providers outside the UK as described in our Privacy Policy. If the law requires us to do something else, we'll tell you first unless the law stops us;
  • make sure anyone who can access it is bound to keep it confidential;
  • keep appropriate technical and organisational security measures in place (as described in our Privacy Policy) to protect it;
  • help you, as far as reasonably possible, if someone asks to see, correct or delete their information, or uses any other data protection right;
  • tell you without undue delay if we become aware of a personal data breach affecting it, and give you the information we reasonably can to help you deal with it;
  • help you, as far as reasonably possible, with security, breach notifications, data protection impact assessments, and any consultation with the regulator, taking into account what we do and the information we have;
  • when your account closes, delete it, or give you a copy first if you ask us before the account is deleted, unless the law requires us to keep it. Active service data is deleted within 30 days after the account is closed. Backup copies may remain for up to a further 14 days before being automatically deleted.
  • give you the information you reasonably need to show that these promises are kept, and allow and contribute to reasonable audits or inspections by you or an auditor you appoint, on reasonable notice. We'll first try to answer your questions in writing.

Our service providers (sub-processors). You give us general permission to use other service providers to help run BusyTasks. The current list is in our Privacy Policy. Before we add or replace one, we'll update that list and tell you by email or in the app. If you have a reasonable objection on data protection grounds, tell us within 14 days. We'll try to address it, and if we can't, you may close your account and we'll refund any fees you've paid in advance for the time after it closes. We'll make sure each provider is bound by data protection obligations that give at least the same level of protection as this section, and we remain responsible to you for how they meet them.

Section 11 (our liability) applies to this section too.

9. Readings and logs (if available to you)

If you use BusyTasks to record readings such as temperatures, you set every allowed range yourself and you are responsible for them. BusyTasks only records what people enter. It does not check readings, equipment or limits, and does not give food safety or any other advice.

10. No service levels

BusyTasks is provided "as is" and "as available". We don't promise that it will be available at any particular time, uninterrupted, error-free, or that data will never be lost. We make no promises about uptime, response times or support. We may change, suspend or stop any part of BusyTasks at any time (for paid plans, see section 13). To the fullest extent the law allows, we exclude all warranties and conditions not set out in these terms.

11. Our liability to you

  • Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that by law can't be limited or excluded.
  • Apart from that, we are not liable for any indirect or consequential loss, or for loss of profit, revenue, business, stock, data, goodwill or reputation, for fines or penalties, or for the cost of replacement services, however it arises, including through negligence.
  • Free and trial use: while you use BusyTasks without paying, our total liability to you for everything arising out of or relating to BusyTasks, for all claims put together, is limited to £100.
  • Paid plans: our total liability to you for everything arising out of or relating to BusyTasks in any 12-month period is limited to the fees you paid us in the 12 months before the event the claim is about.
  • These limits apply however a claim arises, including in contract, negligence or breach of statutory duty. Any claim must be brought within 12 months of you becoming aware of it.
  • These limits are part of why BusyTasks can be offered free or at a low price, and you agree they're reasonable.
  • These limits are between your business and us. They don't change our own duties under data protection law, or any rights that individuals have directly under it.

12. Your responsibility to us

You will cover us for claims brought by anyone else (including your staff, customers or a regulator), and for the losses, fines and costs (including reasonable legal costs) that come from them, to the extent they're caused by:

  • content you or your people put into BusyTasks that is unlawful;
  • content you or your people upload that infringes someone else's rights, such as a logo or image you don't have permission to use;
  • unlawful use or misuse of BusyTasks by you or your people;
  • a serious breach of these terms by you or your people; or
  • your breach of the law, including data protection law.

We'll tell you promptly about any such claim and won't settle it without asking you.

13. Suspending and ending

You can stop using BusyTasks at any time.

We may suspend or close your account straight away if we reasonably believe it's needed for security, to stop misuse or illegal activity, because of a serious breach of these terms, because you haven't paid, or because of a risk to us, our service or others.

While you use BusyTasks for free, we may also close your account or stop BusyTasks at any time for any other reason. Once you're on a paid plan, we'll give you at least 30 days' notice before closing your account or stopping BusyTasks for any other reason, and refund any fees you've paid in advance for the time after it ends. There's no refund if we close or suspend your account because of your breach or non-payment, unless the law says otherwise.

Active service data is deleted within 30 days after the account is closed. Backup copies may remain for up to a further 14 days before being automatically deleted. Ask us before then if you want a copy. Sections 4, 7, 8, 11, 12 and 15 continue after the account ends.

14. Changes to these terms

We may update these terms. We'll show the date at the top and tell you in the app or by email about important changes. If you keep using BusyTasks after a change, you accept the new terms.

15. General

  • These terms are the whole agreement between you and us about BusyTasks.
  • If any part is found unenforceable, the rest still applies, and that part applies to the greatest extent it lawfully can.
  • Nobody else has any rights under these terms.
  • We may transfer our rights and obligations under these terms to a company in our group, to a company that takes over BusyTasks or our business, or to a new company set up to run BusyTasks (see section 1). We'll tell you if that happens, and it won't materially reduce your rights under these terms. You may not transfer this agreement without our written permission.
  • If we don't enforce something straight away, we can still enforce it later.
  • These terms are governed by the law of England and Wales, and its courts have exclusive jurisdiction.
